Office Manager/Executive Assistant
We are seeking an entrepreneurial, energetic individual to manage operations, provide on:going support to the President, coordinate marketing and public relations, provide technical support, in other words, we need a jack/jill of all trades. Diamond is a fast paced, entrepreneurial company in search of exceptional talent.
Reporting directly to the President, successful candidate will be required to assist with the development, execution and operations of the business. This position involves supporting the recruitment and sales teams, general office management and human resource functions
Hours: 9:00a to 5:30p
Days: Monday to Friday
Administration:
* Memos letters and general correspondence
* Manage email inbox of the President
* Manage the Presidents calendar
* Preparation for staff meetings
* Field Client calls in the absence of the president
* Assist in preparation for client meetings
* Implement Strategic Coach Principles and Tools
Accounting:
* Communications to from president to accountant
* Oversee and approve internal office expenditures
* Create invoices/ Payroll
Project Management:
* Facilitate and implement projects relation to global business both on the client and recruitment s
Facilities Maintenance:
* Technology (PC hardware and software)
* Land Lines inclusive of voice mail and messaging system
* Cell phones
* Photocopier
* Kitchen
* Responsible for both the efficiency and presentation of the general office environment
* Manage maintenance and repairs when required
Human Resources:
* Distribution , updating and filing of all company policies
* Employee file updates, tracking vacation and time off
* Job posting and prescreening, testing
* Manage time sheets and attendance
* New Employee HR orientation
* Manage company benefits plan
Marketing Support
* Website upkeep
* Business literature i.e.: cards, brochures and letterhead
* Promotional items when required
* Trade Show coordination
* E:communications
* Internet web marketing
Special Events:
* Coordination of staff and client functions as required
Travel:
* Book and arrange travel and accommodations on a need by need basis for the office staff.
Qualifications and Experience
A confident, outgoing, self:starter with a track record working in a self:directed position
Outstanding interpersonal, written and verbal communications skills
Strong ability to take the vision of the President and follow through on the execution
Excellent technology skills, Quickbooks, MS Office Suite, Microsoft 365, Adobe, Photoshop, HTML
