Purpose of Job:

As part of the HRMC Accounting & Administration team, the incumbent is responsible for providing excellent customer service while supporting our business partners. To provide administrative and accounting support for key administrative tasks, such as expense management, capital budget orders, network accesses, premises maintenance, and stationery control.

Major Accountabilities:

  • Support the departments operational effectiveness and compliance requirements, through various administrative functions:
    • Complete the end to end technical on-boarding process of new team members by coordinating the set-up of Network, VPN, Lync etc. accesses as needed, liaising with the IT teams
    • Trouble-shooting for PC/Blackberry/Equipment problems and work with other groups to resolve problems
    • Coordinate software purchases, computer equipment purchases, disposal of computer equipment
    • Update and maintain department inventories of computers and office equipment
    • Monitoring, ordering and managing stationery, including offsite storage as required
    • Responsible for premise and equipment maintenance and operational issues (lights, washroom, photocopier, fax issues, etc.)
    • Coordinating distribution and collection of security pass cards
    • Processes incoming/outgoing mail correspondence, including urgent requests of delivery of documents/packages
    • Assist in the coordination of compliance requirements such as, assisting with BCP
    • Identify opportunities for improved efficiencies

  • Administration of expenses for senior officers (three Vice Presidents and one Project Lead):
    • Ensure accurate processing of expenses in a timely manner
    • Ensure that expense claims comply with Bank policy and division standards
    • Ensure proper authorizations and allocation codes are in place before sending to appropriate departments for processing
    • Reconciliation of monthly Centre Suite accounts
    • Assist with other accounting processing, as required

  • Provides support to senior officers (three Vice Presidents and one Project Lead) in day to day management of their schedule, as required, by:
    • Co-ordinating calendars
    • Arranging/scheduling appointments on their behalf
    • Anticipating scheduling conflicts/problems and providing alternatives
    • Assisting with travel bookings, as required
    • Booking rooms, catering, etc. for larger meetings, as required

Education/Work Experience/Functional Competencies

  • 1-2 years experience in a HR support function
  • Excellent organizational skills and ability to set and manage competing priorities in a timely manner
  • Extremely high level of discretion required when dealing with confidential matters
  • Ability to work independently, as well as in a team environment in a customer focused environment
  • Strong proficiencies in Microsoft Office
  • Sound knowledge of business/bank terminology and departmental procedures
  • Working knowledge with Scotiabanks accounting processes
  • Good communications skills, both written and oral

Authority / Decision Making / Direction Received:

The incumbent receives direction from the Manager, Accounting & Administration and works closely with the Vice President and all team members located at 25 York.

Working Conditions:

Position is spent largely in the sitting position for long periods of time (meetings, computer, telephone, reading/writing), which puts stress on the back, shoulders and neck in particular. Ergonomically correct seating essential.
